Job Title: Equipment Administrative Assistant
Salary: Competitive compensation package based on experience.
Overview:
We are seeking a detail-oriented and organized Administrative Assistant to support our Equipment Manager. This role is critical to ensuring the smooth operation of our heavy civil construction projects by coordinating service requests, tracking equipment status, and maintaining accurate inventory records. The ideal candidate is proactive, efficient, and comfortable working in a fast-paced construction environment.
Key Responsibilities:
- Coordinate and schedule service requests, maintenance, and repairs for all construction equipment.
- Maintain accurate records of equipment in inventory, in use, or out for service.
- Track equipment needs for current and upcoming projects and assist in ordering or procurement.
- Input, update, and manage data in equipment management systems or spreadsheets.
- Communicate effectively with field personnel, vendors, and internal teams regarding equipment availability and status.
- Assist the Equipment Manager with reporting, documentation, and tracking key metrics related to equipment utilization and performance.
- Ensure compliance with company policies, safety standards, and record-keeping requirements.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- Previous administrative or clerical experience, preferably in construction, heavy equipment, or industrial settings.
- Proficient in Microsoft Office (Excel, Word, Outlook) and experience with inventory management systems.
- Strong organizational and time-management skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and work in a fast-paced environment.
- Familiarity with heavy civil construction equipment and terminology.
- Experience coordinating equipment maintenance and service schedules.
- Basic understanding of project workflows and construction operations.
Physical Requirements:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
- Must be able to lift and carry up to 50 lbs.
- Must be able to move freely about a construction site that at times presents a demanding terrain including, but not limited to climbing of ladders and stair towers, uneven and often wet surfaces, and slopes.
- Must be able to talk, listen and speak clearly on telephone.
